Manage Mailboxes (Account Owner/Administrator only)

The Mailboxes tab in the Account Settings dialog lets you add*, delete, and rename mailbox folders for your Email Center Pro account. This is also where you establish, change or delete the POP Accounts which get email into your Email Center Pro mailboxes.

NOTE: Different account levels allow different numbers of mailboxes. For more information, see the Pricing page.

IMPORTANT: If you type a generic email address into the "Email Address" field (such as "sales@yourcompany.com") for a selected mailbox, you must redirect mail from that address to the selected mailbox to receive those replies.

PROCEDURES

  1. Locate the login links at the top of the screen (Logged in as...)
  2. Click Account & Tools
  3. Click the Mailboxes tab

Mailbox Details

Mailbox Name: Type in the mailbox name as you want it to appear in the Email Center mailbox list. This could be department or project name, whatever you choose to call it.
Mailbox Email Address:

Type the name associated with the email address.

NOTE: this is the direct Email Center Pro email address associated with the mailbox, NOT the generic email address your contacts will use, in most cases.

Send Email As

Name:

Type the name associated with the "Mailbox Email Address" listed above. This might be a person, department, or project name.

NOTE: This name will appear as the "from" name on all outgoing email you send to your contacts. You'll want to make sure users can readily identify the sender (Your Company Sales).

Email Address:

Type the email address as it will appear to be sent from. This can be the same as the 'Mailbox Email Address' name, or an outside email address that has been linked to this mailbox.

NOTE: Contacts will see this email address as the sending mailbox (sales@yourcompany.com, etc.) on all outgoing mail, and replies will go to that email address. For you to receive these replies, you MUST make sure that email address redirects to the selected mailbox.

Permissions (Standard and Premium accounts only)

Lists all users with permission to access the selected mailbox. Administrators are shown in bold. To change users' access to this mailbox:

  1. Click to check the box for each user who should have access to this mailbox
  2. Click Save at the top of the dialog

NOTE: Users will not be able to see any information about mailboxes to which they do not have permission. Administrators cannot be excluded from any mailboxes.

Signature

This signature will automatically be added to any email sent from this mailbox, regardless of the person sending the email.

Click the arrow to add or edit the mailbox signature.

You can use the formatting tools above the signature editing box to customize your mailbox signature.

NOTE: if the sender has a personal signature block stored in their Preferences, it will also be included in the Reply email, above the mailbox signature.

Connected POP Accounts

To receive email from an external email account into your Email Center Pro mailbox, you must redirect it. The recommended method is setting up a POP (Post Office Protocol) Account (you may have done this when you first set up your account).

Click Add POP Account to let Email Center Pro check your external email for messages. A POP Account details area will appear below this button.

Active: Check this box when you are ready for Email Center Pro to begin checking your external email address for new mail.
POP Account: Create a name for the server connection (ex., Sales Emails)
POP Server: Type the name of the email server that the external email address currently routes to. (For information, contact your system administrator)
POP Username:

Type the user name or email address to be routed into your Email Center Pro mailbox.

NOTE: This should be the username you normally use to log in to your external email account.

Password: Type the password associated with this email address.
Port: Type the port number to connect to this server. (For information, contact your system administrator)
Use SSL:

Check this box if the server hosting your external email requires a secure connection.

NOTE: This option is not available in Free accounts.

Copy Mail: Check this box if you wish to leave a copy of the email messages on the external server; by default, with the box unchecked, all email messages are removed from the server when they move in to your Email Center Pro account.

NOTE: You can route as many POP mail accounts to an Email Center Pro mailbox as you would like. Click the "Add POP Account" button to add more POP accounts to the current mailbox.

Permissions

You can set permissions by user or by mailbox. On the Mailboxes tab, checked users can see the current mailbox.

SMTP Server

By default, outgoing mail uses Email Center Pro's main SMTP server. If you wish to use a custom SMTP server for a specific mailbox, you can do so here. Click Add New... to begin.

Autoresponder

You can set up an automatic response to new conversations coming into the current mailbox.

  1. First, create a template for responding to new conversations.
  2. Then, return to the Mailboxes tab of your Account and Tools settings.
  3. Check the box for Use Autoresponder.
  4. When prompted, choose the template you have created.
  5. Click Save at the top right of your Account & Tools window.
  6. Close the Account & Tools window.

Auto-BCC

Use this setting to automatically BCC (blind cc) another email address on all outgoing mail from this mailbox. To remove Auto-BCC, simply delete any email addresses entered here, and then save your account settings.
