Tag Email

Tags are another way to filter a list of similar emails. Emails can be sorted by their 'tag' within a mailbox so that you can view only those tagged emails. Example: Create a tag called "Product Eval" for emails requesting an evaluation of your product.

In addition to the features outlined below, you can also Rename, Split, and Merge existing tags.

Create

  1. Click the email message from the list
  2. Click the Add Tags link just above the message
  3. Type the name of the new tag
  4. Click Save

NOTE: Tag names cannot include commas, as commas are used to separate different tags.

Use

  1. Open a new email message
  2. Click the Edit tag link just above the message
  3. Type tag name to search for the tag you wish to use
  4. OR, click the down-arrow button to see a listing of all tags created, and highlight the desired tag name
  5. Type your reply and click Send

TIP: Click and drag for quick tagging

To quickly apply a tag, you can also click any message in the list and drag it over to a tag (on the left, under the Folder listings) associated with the current mailbox.

Edit

  1. Click the email message from the list to preview it
  2. Click the Edit Tag link just above the message
    • to remove the current tag: delete it
    • to add another existing tag: click the down arrow and highlight a tag from the list
    • to add new tags: type in the tag names, separated by commas
  3. Click Update Tags to save your tag change for the email

TIP: Tag multiple conversations

You can tag multiple conversations at once by selecting them and clicking More on the toolbar. Click Add Tag and specify the tag name. Try using this feature on the results of a search for similar emails to easily find them in the future.

Sort

Each mailbox displays a listing of the tags associated to the mailbox. The mailbox tag list will display along the left-hand side of the screen, below the folder list. Only the tag list for the currently-opened folder will display.

  1. Highlight the tag to sort by
  2. The mailbox will sort and display only the emails with the highlighted tag

Delete tag

You can easily remove a tag from an email conversation.

  1. Click the email message from the list
  2. Click Edit Tags above the message preview
  3. In the tag dialog, highlight the name of the tag you wish to delete
  4. Press the Delete key to erase the tag name
  5. Click the Update Tags button

NOTE: this removes the tag from a single email. To remove the tag entirely, you must remove it from all other conversations to which it has been applied.
